Adjunct Reappointments

Adjunct employees are initially hired through a competitive recruitment process, as governed by these guidelines.

Sometimes it is necessary to engage a continuously employed adjunct to do identical or similar work beyond their initial contractual period. For example, an adjunct may teach the same course or a similar course in the same major discipline semester after semester. The reappointment process is called a “reappointment.” The Faculty Adjunct Personnel Action Form is located at the bottom of our Department Resources page.

Continuously employed adjuncts

Existing William & Mary or VIMS employees who assume new positions at the same agency and who do not terminate from their agency between appointments. It is possible for a worker to be an “active” employee yet have no active job due to a gap between appointments. The maximum adjunct appointment gap is 13 months.

Terminated adjuncts

Individuals who have fully separated from the university as workers. Adjuncts are terminated via a department-initiated clearance process. Departments shall initiate a clearance process for any adjunct who is not expected to return or who does not work for thirteen or more months.

To confirm whether an adjunct is continuously employed or terminated, please do the following:

  1. Visit FINOPS.wm.edu
  2. Enter the worker’s Banner number
  3. Click on “Timesheet Approver/ Employee Jobs Status Search” on the left-hand menu.
  4. View the “Employee Status and I-9 Information” table and the column “Employee Status.” Information will include the following:
  • Banner ID #
  • Name
  • Employee Status
  • Last Work Date
  • I-9 Form Status
  • I-9 State Received
  • I-9 Expiration Date
  • Most Recent Employment Termination Date
