Summer Research Housing
Learn about the process of requesting complimentary summer housing on campus as an undergraduate researcher.
A limited number of undergraduates conducting summer research at William & Mary during Summer 2025 are eligible to receive free on-campus housing. The process timeline can be found below.
Tax Information
IMPORTANT: If your application is approved for free summer research housing at William & Mary, please be advised that this may be considered a taxable benefit by the Internal Revenue Service (IRS). In accordance with IRS regulations, the university is required to classify this benefit accurately for tax purposes which may result in the reporting of taxable income to the recipient based on the fair market value of the housing provided. Once an application is approved, additional information may be required in order for the University’s tax compliance team to determine reporting requirements. Housing recipients will be notified promptly if additional information is needed.

Reporting and taxation of student payments are governed by the Internal Revenue Code and Treasury Regulations and enforced by the Internal Revenue Service (IRS).
Eligibility
- Current undergraduate students graduating no earlier than August 2025 conducting summer research under the supervision of a William & Mary faculty member are eligible to apply.
- Summer housing availability is limited and not guaranteed for all applicants. If demand exceeds supply, the following criteria will be used for selection:
- Demonstrated high financial need
- Projects where it is essential for students to conduct research physically on campus
- Projects that require a longer length of stay on campus
- The earliest move-in date is Sunday, May 25, 2025 and the latest move-out date is Saturday, August 2, 2025.
Steps to Apply for Housing
Priority deadline to apply for complimentary housing through the Charles Center:
- Undergraduate students must complete the Charles Center Qualtrics housing application (to be added to this webpage in the spring) by Friday, March 7, 2025 at 11:59 pm.
- The student must also initiate a DocuSign form to be sent to the faculty research mentor to verify that the student is completing research under their supervision by Friday, March 7, 2025 at 11:59 pm.
Final deadline to apply for complimentary housing through the Charles Center if space remains:
- Undergraduate students must complete the Charles Center Qualtrics housing application (to be added to this webpage in the spring) by Friday, April 11, 2025 at 11:59 pm.
- The student must also initiate a DocuSign form to be sent to the faculty research mentor to verify that the student is completing research under their supervision by Friday, April 11, 2025 at 11:59 pm.
- Complete the Residence Life summer housing application by April 18th at 11:59 pm to confirm room assignment. Residence Life will email students with their initial summer housing assignment information the week of April 21st.
- In order to complete the Residence Life application, non-William & Mary students must first obtain a student ID number by completing the Non-Degree-Seeking Application. Non-W&M students should follow these instructions to waive the $50 application fee: 1) Select "Current UG student (visiting)" as the student type. 2) In the Acknowledgement section of the NDS application (at the end of the application), enter "Summer Research" in the "Enter Code" line. 3) Finalize, review, and submit the application.
- Register for the INTR 001 Summer Research course by April 18th at 11:59 pm. This is a zero-credit placeholder that allows the university to track the students doing research on campus during the summer. It is not an actual “course” and there are no fees.
- Administrators from the faculty research mentor's department and Financial Operations may contact students for additional information or to complete forms (such as a W-9 or I-9 form).
