Payment & Check-in


Payments for services are processed in advance online.
 After reserving your appointment, you'll receive a confirmation email that includes your reservation number and a link to our payment portal. At this time, only credit cards are accepted in the online payment portal. Service sales are final.

When you arrive for your appointment at the Wellness Center, check-in with the Wellness Ambassador available at the front desk. 

New clients are asked to arrive 10 minutes early for their first therapeutic services appointment. This allows time to complete any necessary forms, ask questions you may have, and for your provider to get acquainted with your expectations of the service.

For Massage: Come dressed in comfortable clothes and shower prior to your appointment to receive the full-treatment benefit. 

Session Cancellation or Change

To cancel or change the time of your upcoming appointment, click the "Change Your Appointment" link in your confirmation email more than 24 hours before your scheduled session. 

Cancellation Policy
If you need to reschedule or cancel your appointment, a minimum of 24-hour notice from the scheduled appointment time is required. You will not be able to cancel or reschedule an appointment online that is occurring within the 24-hour window, as it is a late cancellation. Requests for refunds of appointments that were canceled after payment must be emailed to wellness@wm.edu.

Late Cancellation
Clients attempting to make changes to their appointment with less than 24 hours notice must call the Wellness Center front desk between 9 am-5 pm at (757) 221-1439 or email wellness@wm.edu. The session may be forfeited and non-refundable if canceled with less than 24 hours notice

Late Arrivals & No Shows

Providers will wait for you to arrive up to 10 minutes past the session's scheduled start time. After 10 minutes, the session is forfeited and non-refundable. Sessions that start late due to a tardy arrival will end at the originally scheduled time. 

A no-show is a failure to arrive for a scheduled appointment without advance notice and will result in the forfeiture of the session without a refund. Service sales are final.

Tips

It is not required that you tip your service providers. If you are interested in tipping, please ask your service provider directly about their policy.

Gift Certificates

Purchase
Gift Certificates may be purchased online. Select your service type and proceed through the prompts. In the Reservation Number section, enter "Gift for Name of Recipient". After your purchase, you'll receive a confirmation email with a Gift Card code. Provide this code to your recipient. 
Service sales are final.

Redeem a Gift Card
Reserve an appointment online and enter your Gift Card code in the bottom section of the reservation page. Gift certificates cannot be redeemed for cash. Service sales are final.
