Catered Events
The Sir Christopher Wren Building is a unique space for holding events. While food may be served during department-sponsored events, certain restrictions do apply. Here is everything you need to know about hosting an event in which food and/or beverages are served.
Who can host food-service events?
Only W&M departments and college-related foundations (heretofore referred to as "approved sponsors") may host events in the Wren Building during which food and/or beverages may be served.
Students and student organizations are prohibited from hosting food-service events.
Which locations are approved for food-service events?
- Indoor locations: Great Hall, Piazza, Leadership Gallery
- Outdoor locations: Wren Yard (including North and South), Courtyard, Vista
Which caterers may be used?
W&M University Catering is the primary caterer for events happening inside the Wren Building.
What types of food-service events are permitted?
- Great Hall: hors d'oeuvres receptions, cocktail receptions, plated meals. Buffets are NOT permitted inside the Great Hall.
- Leadership Gallery: hors d'oeuvres receptions, cocktail receptions, plated meals (< 20 people only).
- Piazza: cocktail receptions
- All Outdoor Locations: hors d'oeuvres receptions, cocktail receptions, plated meals, buffet-service meals
Is alcohol permitted?
Alcohol may be served in accordance with university procurement guidelines. Under no circumstances may alcohol be served to anyone under the age of 21.
What are the financial considerations for hosting food-service events?
Usage fees for the Wren Building are $60/reserved hour.
The host department or university-related foundation should also expect to be charged setup and rental costs for tables, chairs, greenery (if applicable), and any other special requests, available through coordination with Facilities Moving and Storage.
For events in the Great Hall and Piazza, linens, china, glassware, and silverware are required standards that will likely incur additional fees charged by the caterer. Disposable service is not permitted in any indoor locations; disposable service may only be used in outdoor locations.
