Hotels and Local Lodging for University Business
William & Mary has contracted with local hotels and several bed and breakfast establishments ("B&B's") to offer greater value to the university community. The contract terms include direct billing, accepted terms, and special pricing. Most hotels offer per diem rates or better based on the group size and the time of year for the booking. *Room rates are subject to change, and are listed for comparison. Departments are encouraged to negotiate room rates for large group events.
Friends and family visiting the William & Mary campus are encouraged to use these same lodging contract partners. View special rates for friends, family and visitors to the university. They may use the code listed on the booking link or by phone to receive a special rate. Family, friends, guests and visitors should contact the hotel or B&B with any questions or comments.

Helpful Procedures for Procurement Approval on Group Sales Agreement/Contract--Lodging
1) The hotel listing shows per diem rates and better. Can these be used by anyone providing the discount code?
- The contract details are only for official W&M business, meaning any rooms paid and/or booked by W&M.
2) I am arranging a room block for a group that will be paying for their own rooms. What is the best way to do that?
- Ask the hotel to generate a room block agreement that will be signed by W&M. In these cases, W&M guarantees to pay the difference in cost if the number of paid rooms goes below 80% of the agreed upon number. W&M will pay any fees if the event is cancelled within a specified date. Per the contract, the hotel’s room block agreement should not list any legal terms and conditions as they have already been established. Send the draft agreement to Procurement for review and signature. Remember that only those W&M staff with express signature authority can sign a document on W&M’s behalf.
4) If I use a contract hotel, does that mean I don't have to worry about per diem rates for payment by our A/P?
- While most of the contract hotels are offering per diem rates or better, there are some B&Bs who do charge more than the per diem room rate. W&M departments will need to have local funding to cover any costs above the per diem rate in effect up to 150 or 200% for our A/P to process.
5) Is this a mandatory contract, or can we still use any local hotel?
- This is a "preferred use" contract. The goal is to better manage W&M's use of the local hotel partners and maximize benefits to W&M.
