Banner Basics for Advisors

Faculty members who serve as advisors will use Banner to access additional information about their assigned advisees.

Use the links below to find answers to questions frequently asked by faculty advisors.


Banner Basics
  • Login to Banner from the myWM (http://my.wm.edu) page with your WMuserid and password. 
  • Select Faculty to display the Faculty Services menu

Notes

  • The timeout for inactivity in the myWM portal is 30 minutes. Unfortunately, activity in Banner Self Service does NOT count toward the 30 minutes of inactivity. A System Alert window will warn you when your session is about to expire and allow you to remain active by clicking OK .
  • Remember to logout of myWM when you are finished reviewing advisee data.

How to see your advisees in Banner 9
  1. Log in to Banner Self-Service and select the “Faculty Services” tab. 
  2. Click on “Advisor Menu” then “Advising Profile.
  3. Don’t forget to check your term! It should be the semester for which students will be registering (not the current term).
  4. Search by individual Student ID, Student Email, Student Name OR Click the “View my Advisee Listing” link at the bottom of the box to see all your advisees.
  5. If you want to email all of your advisees, you can use the "Email All" function from that screen and the students will be blind copied.

Viewing an Advisee's Alternate PIN
  1. Follow the instructions for Viewing Your Advisees
  2. PIN numbers in should be viewable in the Advisor Profile by selecting a student, clicking on “Registration Notices” in the right corner of their profile, and looking under “Registration PIN Assigned”. If you do not see a PIN number, doublecheck that your term is correct (it should be the term the semester for which students will be registering, not the current term).

Using the Degree Evaluation
  1. From the Faculty Services menu, select Advisor Menu to display the Faculty & Advisors menu.
  2. From the Faculty & Advisors menu, select Display Advisees .
  3. From the Advisee Listing, click the View link in the Degree Evaluation column for the appropriate student.
  4. Select Generate New Evaluation from the links at the bottom of the page.
  5. Select the radio button for the program to be evaluated, and select the most future term for which the student has registration . Then click the Generate Request button.
  6. Select the radio button for the information you wish to view, and indicate whether you want a printer-friendly version. Then click Submit.

Notes

  • All basic degree requirements and most undergraduate majors have been programmed in the degree evaluation system.
  • When the evaluation is displayed, ignore the second section (displayed after the student's basic program information). It is one of the issues that needs to be resolved.
  • If you encounter data that you think may be an error or discrepancy, send an email to .

Viewing Midterm Grades for Your Advisees
  1. From the Faculty Services menu, select Advisor Menu to display the Faculty & Advisors menu.
  2. From the Faculty & Advisors menu, select Student Active Registrations .
  3. If prompted, enter the student ID or search for the advisee, and click Submit .
  4. Midterm Grade is displayed in the second column for each course
  5. To view another student, use the Student Menu link (at the bottom of the page)
  6. From the Student menu, use the ID Selection option and enter the ID or search for advisee.

Notes

  • The name and ID of the last student's record you viewed will be displayed unless you use ID Selection to change it.
  • When using the ID Selection search, make sure to select radio button for Advisees . Less is more! Search by the student's last name only. Since you're only searching for your own advisees, the list you retrieve will be brief anyway. You can also use the wildcard (%) in the Last Name field to see a drop-down list of all advisees.

Viewing Another Student's Record
  1. While you are logged in to Banner Self Service, the name and ID of the last student's record you viewed will be displayed unless you use the ID Selection function to change it.
  2. From the Faculty Services menu, select Advisor Menu to display the Faculty & Advisors menu.
  3. From the Faculty & Advisors menu, select ID Selection.
  4. Enter the student's Banner ID in the Student or Advisee ID field, OR use the Student and Advisee Query option to search for the student by name (if you don't know the ID number).
  5. When using the Student and Advisee Query option, make sure to select radio button for Advisees. When entering your search criteria, "less is more!" Search by the student's last name only. Since you're only searching for your own advisees, the list you retrieve will be brief anyway. You can also use the wildcard (%) in the Last Name field to see a drop-down list of all advisees.

Using the Class Search
  1. From the Faculty Services menu, select Summary Class Schedule (the last menu item). This is the same search that students use during registration. For student's the link is called “Look Up Classes to Add.”
  2. When prompted, select the appropriate term.
  3. Select a subject. A subject is required!
    • Select multiple subjects by holding the Ctrl key and clicking on each subject you want to search.
    • Select all subjects by holding the Shift key and clicking on the first subject and the last subject.
  4. Select any other search criteria desired.
    • Attribute Type = GERs, proficiencies, specific major requirements, etc.
    • A wildcard (%) can be used in any text field. For example, entering “3%” in the Course Number field will search for all 300-level courses.
  5. Click the Class Search button to submit query.
  6. Drill down on each CRN in your results for details such as seats available, prerequisites and corequisites, restrictions, attributes, catalog information, and many other details.
